Privacy policy

Wagio ("we", "us") provides payroll, invoicing, stock and business-management software to South African businesses. This policy explains how we handle personal information in line with the Protection of Personal Information Act 4 of 2013 (POPIA).

Information we collect

  • Account details: name, email address, phone number and business name.
  • Employee information you capture: names, ID numbers, tax numbers, salaries, leave and overtime.
  • Business records: invoices, customers, suppliers, stock, expenses and receipt photos.
  • Bank information you choose to connect: account names, balances and transactions.
  • Basic usage information needed to keep the service running and secure.

How we use it

Only to provide the service: calculating payroll and SARS figures, producing payslips and reports, sending invoices and reminders, supporting you, and keeping your account secure. We do not sell personal information.

Roles under POPIA

For your own account details, Wagio is the responsible party. For employee, customer and supplier information you capture, your business is the responsible party and Wagio acts as your operator, processing it only on your instructions.

How we protect it

  • Employee ID numbers and bank access tokens are encrypted at rest.
  • Each business's data is kept separate, and team members only see the areas they are given.
  • Files such as logos and receipts are stored privately and shared only through short-lived links.

Sharing

We share information only with service providers that help us run Wagio (such as hosting, email and bank-feed providers), when you ask us to, or when the law requires it. Some providers may store data outside South Africa under adequate protection as required by POPIA.

How long we keep it

We keep records while your account is active and for as long as tax and labour laws require (generally five years for payroll and tax records). You can ask us to delete your account.

Your rights

You may ask to see, correct or delete your personal information, object to processing, or complain to the Information Regulator (inforegulator.org.za). Contact us at support@wagio.co.za.
